Great meetings don’t just happen. Great meetings result from thorough planning and follow up.

The following 5 tips will help you improve the effectiveness and efficiency of any meeting:


  1. Set a goal for the meeting. It’s impossible to hit a target that you can’t see. Know precisely what you want to accomplish before your meeting.

  2. Create an agenda and stick with it. Investing a few minutes to organize your meeting is essential to running highly efficient and productive meetings. Write an agenda that covers everything you wish to discuss at your meeting. Make sure what’s on your agenda is in alignment with your goals for the meeting.

  3. Start and end on time. Don’t penalize the people who get to your meetings on time. Always start and end meetings promptly. People who tend to run late will quickly adjust their behavior.

  4. Take a break every 90 minutes. Studies show your attention span quickly wanes after 90 minutes. Keep focus sharp by taking frequent, short breaks.

  5. Establish a post-meeting action plan. Every successful meeting will generate a list of to dos. Assign responsibilities with concrete deadlines. Document who is doing what and follow up until all tasks are completed.
